Accounting On-Line – Outsourced Bookkeeping
Our Innovative
Service Assists Clients who cannot find Good Bookkeepers and Saves Them Up to
40% on Bookkeeping Costs
Are you experiencing any of the following problems:
- Having trouble
hiring a good bookkeeper that knows proper accounting procedures or
QuickBooks?
- Tired of doing books
yourself when you should be building your business?
- Is your spouse fed
up with doing the books?
- Inaccurate account
balances?
- Bank accounts not
reconciled?
- Payroll errors?
- Slow accounts
receivable collections?
If
you are tired of dealing with bookkeeping problems, such as inaccurate account
balances, payroll mistakes and slow accounts receivable collections, consider
Accounting On-Line.
This is a simple solution which outsources the bookkeeping task to a
bookkeeping professional. You
won’t be bothered with inaccurate balances or employee headaches any longer.
You will be free to concentrate on customers, sales and making your
business more profitable.
Accounting Alliance for Small Business, P.A.’s Accounting On-Line service
allows business owners to outsource the bookkeeping function at a savings of up to
40%. We use data-entry clerks
moderately skilled with QuickBooks® or Peachtree software to keypunch the
transactions. The keypunching takes
place at our office in the majority of situations.
In some cases a part time clerk is sent on-site to the business location.
All work is hosted on an Internet accessible server so that real time
access is available to the business owner 24/7. Fees range from $125 a week to $985 per week depending on the
volume of transactions and workload. A
realistic ballpark figure is the payroll cost for your current bookkeeper.
How we do it…
Entry-level clerks do the keypunch. The
workload varies but most clients require one to three hours per day of data
entry. Many of our current
“Accounting On-Line” accounts require less than two hours per week of
experienced review. A very
experienced bookkeeper then completes the accounting cycle for up to 20
companies in any given month. The
bookkeeper spends an average of 2 hours per week working on the high-end tasks
for each firm.
The efficiency of putting low skilled workers on key punch (80% of the job) and
one very skilled bookkeeper on the 20% that requires in depth accounting
knowledge, allows us to deliver quality management information at a lower cost
than doing the work in-house. Our
profit margin comes from this efficiency.
You decide
which part of the data entry process you still want to control in-house, and we
do the rest. For small companies we
handle the entire job. For larger organizations we handle specific tasks like
accounts payable or payroll. Generally for larger firms ($1 million or more in
sales, or a large number of complicated transactions that need to be keyed in
daily) the work is still done on-site.
Bookkeeping
areas where we can help you include, but are not limited to:
- Incoming Invoices/Accounts Payable…
- Payments…
- Sales Orders…
- Receipts…
- Payroll…
- Exceptions to the rules…
- Summary of data capture…
Reporting
the business results on-line and in real time to the local business owner
provides four major benefits:
1.
At any time the owner can open the company’s accounting information via
the Internet 24/7 and know exactly what the financial condition of the business
is. You no longer wait until the
end of the month, you can check twice a day if you like. (Our recommendation)
2.
Our accountant acts as a Guardian Angel and provides constant feed back
on where the business is actually making the most money, and how to concentrate
on those products and customers.
3.
All source documents can be viewed
electronically over the Internet, allowing the business owner to have a
paperless office system in the bookkeeping department.
No more looking for tax or billing information.
4.
We use user ID and password protected security assuring the owner that no
unauthorized person will see his or her financials.
Common
questions about outsourcing your bookkeeping.
What
about control? Won’t I lose
control if the books are done by an outside service? Many have this question
when they start outsourcing. It
turns out that most of us are out of control right now with inaccurate
accounting data, or high turnover in staffing.
With accurate and up-to-date numbers at your fingertips, along with real
accounting knowledge from our accountants, we will help you take control of your
company’s accounting and bookkeeping.
What about security?
This is one of my favorite questions.
Right now if you are like most of us, your accounting records are in an
unlocked file cabinet or worse sitting on someone’s desk.
You already have bad security. Our
system uses the same level of encryption that your ATM machine uses. For the first time, you can be assured that you, and only you,
are privy to your most important data.
I want to decide who and when we pay bills. That’s fine, you can
have us select the bills to pay or select them yourself. Either way, the check will be printed on your printer, for
you to sign.
How will I get access to my accounting data? We use an Internet server
to host your bookkeeping data and/or software.
At any time, from any Internet capable PC, you can use your encrypted
passwords to look at your accounting records 24/7. They are always up to date and always accurate.
This is the same procedure and technology your bank, hospitals, and the
IRS uses to access and process information.
It is secure and it is dependable. With
100% back up running in real time.
Do I have to leave my current accountant?
Of course not. We are offering to take away your bookkeeping headaches.
Your current accountant will be grateful for accurate data that they can
really use to help you build more wealth.
I like having an extra employee around here to help with other things.
Well this is one objection we cannot answer.
If you need someone to make coffee and fill his or her day with other
small tasks, accounting on-line is not for you.
But let me ask you this, “How easy is it to find a good bookkeeper that
knows QuickBooks?”
Should I only consider using your On-Line Accounting service if I currently do
not have a bookkeeper?
No. However, this is an
ideal time to explore the outsourcing options available to you.
If you currently have a bookkeeper that is also performing many other
functions, such as office manager, collections, in-house sales, or preparing
proposals, the bookkeeping duties are one responsibility you should consider
relieving this employee of. By
utilizing our outsourced On-Line Accounting service you might find that you can
use your current bookkeeper or office manager for more profitable tasks.
What will it cost?
Actually less than what you‘re spending now.
We are replacing an employee in your company so we are going to charge
you a little less than your current payroll for that staff person.
You will be able to save hiring and training costs.
You will no longer have to pay for payroll taxes, additional phone lines,
or benefits (such as expensive health insurance).
Best of all you will NOT have to manage the bookkeeper.
How do I find out more?
Contact us, we will visit with you and will work out all the details.
If it looks like we have the right solution then try our service and
start feeling a lot better about the numbers in your business.
